Import workers from a spreadsheet

Use the Import button with the onboarding workbook or a CSV — columns, rules and limits.

Add your whole workforce in one go from the client onboarding workbook (.xlsx) or a CSV with the same column headings. Nothing is saved until every row has been checked, and existing workers are never overwritten.

Use the Import button

  1. Open Employees and press Import (next to Add employee).
  2. Not using the onboarding workbook? Press Download a CSV template to get the headings.
  3. Choose your .xlsx, .xls or .csv file (up to 5 MB, up to 2,000 rows) and press Import.
  4. Read the result: how many were created, how many skipped, and the reason for each skipped row.

In a workbook, the Workers sheet is used (otherwise the first sheet). The grey example row in the template is skipped automatically.

Required columns

Optional columns

Email is optional — leave it empty for workers who don’t have one; when it is filled it must be unique. Other optional columns: employee number, other phone, date of birth, national ID number, visa type and expiry, work permit number and expiry, arrival date in country, position / level, start date, hourly rate, monthly salary, bank name, branch and account number, driving licence (has licence, number, class, expiry) and emergency contact (name, phone, relation).

Row 1 holds the column names; case, spaces and a trailing * are ignored. An unknown visa type is left empty rather than failing the row. Current site, housing and notes columns are not assigned on import — place people afterwards.

Duplicates and what is created

  • A worker whose passport, WhatsApp number, email, national ID or employee number already exists — or repeats inside the file — is skipped, never overwritten.
  • Imported workers start as Onboarded without a login. No email or WhatsApp message is sent.
  • All valid rows are saved together; if something goes wrong while saving, nothing is saved.

Worker limit on your plan

Your plan caps workers on file: Free 10, Growth 30, Pro 150 (and 150 during the free trial). If the file has more rows than your remaining allowance, the import creates as many as fit and lists the rest as skipped with “plan worker limit reached”. Upgrade on the Billing page and import the remaining rows again — the ones already created are skipped as duplicates.
